How Your Wedding Coordinator Helps Every Step Of The Way

Planning your wedding should be full of excitement, not stress.

Here’s a little peek into how we stay connected with you from “Yes!” to “I do” (and beyond).

Planning your wedding should be full of excitement, not stress. That’s why at Huntsmill Farm, our Wedding Coordinators are all about clear, friendly, and consistent communication so you can truly relax and enjoy every moment of your wedding journey with us.

Here’s a little peek into how we stay connected with you from “Yes!” to “I do” (and beyond).

It all begins with a warm welcome

Once your booking fee is received, we kick things off with a confirmation email and exclusive access to our private Facebook group for Huntsmill couples. This online community is a space just for our couples—a place to share ideas, resell or buy decor, ask questions, and connect with others on the same path.

Staying in the loop: events & updates

We’ll keep you posted about open days, pop-up pubs, and any updates regarding the venue via social media and our Facebook group. You’re always invited to attend these events. They’re a great opportunity to soak up the vibe at Huntsmill, view the accommodation, and chat with some of our fabulous local suppliers.

Your personal planning portal

Think of this as your go-to for all wedding details. From important documents to payment reminders and everything in between, your portal keeps your planning organised. It’s where you’ll upload and review details, access important info, and keep everything wedding-related in one place.

It helps to make the wedding process run smoothly with you and our wedding coordinator having access to the same plan.

Wine tasting and final planning

Roughly six months before your big day, we’ll invite you to one of our wine tasting evenings (if you’re choosing a drinks package). Then, 6–8 weeks out, we’ll arrange a detailed planning call to go over every element of your day; from the ceremony to the first dance. Everything gets stored in your portal for easy reference later.

The final countdown

The day before your wedding, you’ll be able to access the barn from 1pm and begin to style and decorate as you wish. It’s also a chance for us to meet you at the barn and go over timings, supplier arrivals, and your music. It’s all about making sure everything is perfectly lined up.

Your wedding day

On the day, your dedicated wedding coordinator is right there, working behind the scenes so you don’t have to worry about a thing. They’ll manage the flow, liaise with suppliers and registrars, and handle any unexpected hiccups so you can focus on making memories.

Post-wedding love

After the confetti settles, you’ll be able to relax and reminisce the next morning with a 11am check out. We’ll be around the next morning in case you have any questions or simply want to chat about the amazing day you’ve just had!

A few days later, we’ll email you about your deposit return and ask for feedback because we’re always looking for ways to make our couples’ experience even better.

Communication that keeps things calm

We’ve fine-tuned this communication process to keep things simple, clear, and relaxed. With helpful reminders, friendly check-ins, and someone by your side every step of the way, you can focus on what matters most — celebrating your love in a place that feels just like home.
